DEVELOPMENT COORDINATOR

The Development Coordinator is a full-time position that works with the external affairs team to provide information, support, and services to advance the fundraising mission of Harris Theater.

Primary responsibilities include entering contribution data, maintaining constituent records, generating timely donor acknowledgement letters, and providing concierge ticketing service to donors and other VIPs. Successful candidates will work well both independently as well as part of a team, possess excellent time management skills, customer service orientation, and a thorough attention to detail.

DUTIES AND RESPONSIBILITIES

Donation Processing and Acknowledgements:
  - Ensure accurate and timely processing of all gifts, pledges, and pledge payments
  - Prepare and send tax receipts and high-level donor acknowledgment letters
  - Maintain internal electronic and paper files of gift information and donor correspondence
  - Prepare pledge commitment forms and pledge payment reminders according to donor schedules

Donor Records Management:
  - Maintain constituent records in Tessitura, identifying and recommending procedures and solutions for data accuracy, integrity and efficient use of database
  - Manage campaign, fund, appeal, and special event setup and tracking in Tessitura
  - Produce and proof campaign, annual fund, membership, and sponsorship program book donor listings
  - Track donor sponsorship recognition preferences and ensure consistency across all channels

Ticketing:
  - Process all donor, VIP, and Trustee ticket orders
  - Serve as department liaison to the Box Office team
  - Monitor department ticket holds, adding and releasing seats as necessary

Department Support:
  - Compile and send weekly gift report and respond to other report requests from staff as needed
  - Track department budget and prepare invoice payment requests
  - Assist in execution of mailings to donors, including solicitations, proposals, reports, and audit letters
  - Provide staff support for Board and Committee meetings, including preparation of materials, confirming attendance, catering coordination, and room setup and cleanup
  - Provide additional operational support at donor cultivation events, galas, and performances as required

EXPERIENCE REQUIREMENTS
  - Minimum 2+ years of experience in arts administration or development is preferred
  - High level communication and organizational skills with attention to detail
  - Excellent written and verbal communication ability
  - Ability to be self-directed and work independently in a fast-paced work environment
  - Capacity to effectively prioritize and manage multiple tasks simultaneously
  - Experience with Outlook, Word, Excel, and a donor database; experience using Tessitura preferred
  - Sense of humor and ability to work well with a diverse group of personalities

Part-Time Audience Service Staff
The Harris Theater for Music and Dance in Millennium Park is seeking Front-of-House staff for immediate part-time openings on our Audience Services team. Ideal candidates will be extremely friendly, energetic, articulate, very well groomed, and approachable. Audience Services staff are expected to greet patrons with enthusiasm, provide the highest level of customer service, respond quickly and tactfully to stressful situations and provide information about theater events. 

Must be able to work a flexible schedule including nights, weekends, holidays, stand for up to six hours and lift up to 25lbs. Seeking candidates with previous customer service experience/BASSET Certified preferred. If not currently BASSET Certified must be willing obtain certification.

Part-Time Bartenders/Concessions Staff

Seeking part-time Bartenders/Concessions staff to join our Front of House Staff for the 2016-2017 season. Ideal candidates will be extremely friendly, energetic, articulate, very well groomed, and approachable. Concessions staff are expected to serve patrons quickly and efficiently while providing the highest level of customer service. Seeking candidates with prior bartending, serving or catering experience in a high volume environment and BASSET Certified preferred. If not currently BASSET Certified must be willing to obtain certification.  

Must be able to work a flexible schedule including nights, weekends, holidays, be able to stand for long periods of time, and lift up to 25 pounds.
